Billing tenants

MSP Backups can invoice your clients for their backup use and take card payments through your own Square account. If you bill from a PSA or accounting system instead, use the API and webhooks to feed it. Either way, our licence has no per-device or per-tenant fees, so what you charge your clients is up to you.

Set your rates

In the global admin portal, Settings > Billing & licensing holds:

  • the currency,
  • the price per seat (each user in the tenant), and
  • the price per GB-month of storage.

Connect Square

  1. In your Square developer dashboard, create an application and note its access token, application ID and location ID.
  2. In the global admin portal, open Billing and enter them, with the environment (sandbox or production), on the Square integration card.
  3. The card shows whether Square is reachable with those details.

The access token is stored encrypted.

Invoice a tenant

  1. Open Billing in the global admin portal and select the tenant.
  2. Generate an invoice. It covers the current month and has two lines: seats (the tenant's user count) and storage (the tenant's stored GB, rounded up), at your rates.
  3. Download the invoice as a PDF if you want to send it yourself.
  4. Charge it to the tenant's default card, or let the tenant pay it.

Tenants you do not bill, such as your own internal tenant, can be marked non-billable.

Cards and payments

  • You or the tenant's Owner or Admin can add cards, remove them and choose the default. Cards are stored by Square. MSP Backups stores only Square's references to them.
  • In the tenant admin portal, Billing shows the tenant's invoices, lets them download PDFs and pay with a saved card.
  • A charge claims the invoice before calling Square and sends Square an idempotency key based on the invoice, so a double click or a retry never charges twice. A failed charge can be retried.

Feeding another billing system

  • snapshot.created webhooks carry each new restore point, and quota.warning fires when a tenant nears its cap. See API and webhooks.
  • The backup status endpoint lists each device's latest backup, size and result, per tenant.
  • Export on the global admin Overview downloads a CSV of every tenant's plan, status, storage used, cap and device count.
